The Love Carriage Booking Terms & Policies

Payment

Full payment is due upon receipt of your invoice unless a deposit option is provided. Your booking is not confirmed until payment or deposit has been received.

For select services, a deposit may be used to reserve your date.

For destination bookings, a 50% deposit is required to secure the date and begin travel preparations.

 

Deposits

Deposits reserve your date and remove the time from availability for other bookings.

For standard bookings, deposits include a $100 non-refundable portion.

For destination bookings, the 50% deposit secures travel scheduling, staffing, transportation logistics, and equipment preparation required for the event.

 

Final Payment

Final payment must be received before the event as follows:

  • City Tours: Paid at the time of booking

  • Grand Entrances & Custom Events: No later than 72 hours before the event

  • Destination Bookings: No later than 14 days before the event

Service will not be rendered until full payment has been received.

 

Service Types & Operational Scope

 

Grand Entrances & Grand Exits

Grand Entrance and Grand Exit services are designed for ceremonial arrival or departure experiences and include limited transportation movement within the immediate event area.

 

Extended travel routes, multiple-location transportation, repeated transfers, extended waiting periods, or additional guest ride activities may require a Custom Event or upgraded service package.

 

Custom Events

Custom Events are designed primarily for localized event experiences, photo opportunities, stationary display, and limited guest rides within the immediate venue or event area.

 

Events requiring extended transportation routes, multiple venue transfers, significant travel movement, extended operational time, or additional logistical coordination may require adjusted pricing or a destination booking classification.

 

Destination Bookings

Destination bookings involve transportation of specialty equipment, advanced scheduling coordination, and travel-related operational planning. Additional costs may apply if event details, timing, routes, locations, or operational requirements change after confirmation.

 

Cancellation Policy

 

City Tours

  • Cancel 24 hours or more in advance for a full refund

  • Cancellations within 24 hours are non-refundable

 

Grand Entrances & Custom Events

  • Cancel 7+ days in advance: Full refund minus $100 deposit

  • Cancel within 7 days: 50% refund

  • Cancel within 24 hours: No refund

 

Destination Bookings

Destination events require travel planning, scheduling commitments, staffing coordination, and transportation of specialty equipment.

  • Cancellations more than 14 days before the event may receive a full refund of payments made

  • Cancellations within 14 days may result in partial retention of payments or deposits to account for travel, scheduling, staffing, or operational commitments

  • Cancellations within 7 days of the event will result in loss of the deposit

Weather, Safety & Unforeseen Circumstances

Safety is always our top priority.

 

The Love Carriage reserves the right to cancel, delay, modify, pause, reroute, or reschedule any experience due to weather conditions, roadway conditions, equipment issues, safety concerns, traffic conditions, operational necessity, or other unforeseen circumstances.

 

When possible, reasonable efforts will be made to notify guests promptly and offer rescheduling options, credits, or refunds as determined appropriate based on the circumstances involved.

For destination events where travel has already begun or equipment has already been transported, applicable travel-related or operational expenses may be deducted from any refund or credit issued.

 

Travel & Destination Events

 

Destination bookings involve transportation of specialty equipment and scheduling significant travel time.

For this reason:

  • Travel costs are included in the quoted rate

  • Additional charges may apply if event details, locations, timing, access conditions, or operational requirements change after confirmation

  • Events must take place on approved private property or permitted locations

 

The Love Carriage reserves the right to decline operation on public streets, unsafe roadways, restricted locations, or areas where local regulations or safety conditions are unclear.

 

Waivers

All participants must complete a liability waiver prior to participation. A secure digital waiver link will be provided before your booking. Without a waiver signature, we cannot complete your ride.

 

Time Limits & Overage

Your booking includes the service time listed on your invoice.

A 15-minute grace period may be provided when operationally possible. Additional time beyond this window may result in additional charges.

Extended delays caused by venue coordination, guest readiness, photography timing, traffic conditions, or schedule changes may affect operational timing and availability.

 

Guest Conduct & Safety

Guests are expected to follow all safety instructions provided by The Love Carriage staff and operators.

 

Unsafe, disruptive, abusive, intoxicated, or dangerous behavior may result in immediate termination, modification, or refusal of service without refund.

The Love Carriage reserves the right to make operational decisions necessary to maintain the safety of guests, staff, equipment, and surrounding property.

 

No-Shows

Failure to appear for your scheduled event without notice will be treated as a same-day cancellation and is non-refundable.

 

Changes & Special Requests

Any special requests, timing adjustments, route modifications, additional stops, guest ride requests, photography sessions, or event changes should be discussed and approved in advance to ensure proper scheduling, safety, and operational planning.

Additional charges may apply for changes that increase operational complexity, travel movement, staffing requirements, or event duration.

 

Intellectual Property & Brand Protection

The Love Carriage™, The Crowning Ceremony™, branding elements, presentation concepts, visual designs, logos, marketing materials, and signature experiences are proprietary to The Love Carriage LLC and may not be commercially reproduced, replicated, marketed, adapted, or used for business purposes without prior written consent from The Love Carriage LLC.

Personal photos and videos for non-commercial use are welcomed and encouraged.
